We are looking for an Administrative Assistant to work with the CEO of a dynamic and innovative group of companies spanning SaaS, aerospace, logistics, and energy. We are looking for a highly organized and proactive individual to support and work closely with our CEO to help drive our missions and companies forward.

Key Responsibilities

  • Administrative Support: Provide high-level administrative support to the CEO, including managing schedules, organizing meetings, and handling correspondence.
  • Communication: Act as a liaison between the CEO and internal/external stakeholders, ensuring clear and effective communication.
  • Travel Coordination: Arrange travel itineraries, accommodations, and transportation for the CEO and other members of the companies.
  • Document Preparation: Prepare and edit reports, presentations, and other documents as needed.
  • Project Management: Assist in the planning and execution of special projects and events.
  • Office Management: Oversee office operations at multiple locations, including ordering supplies, maintaining records, and ensuring a productive work environment.
  • Confidentiality: Handle sensitive information with the utmost discretion and confidentiality.
  • Finance & Data Management: Assist our internal finance team with bookkeeping, data entry, report preparation, and basic compliance tasks.

Qualifications

  • Education: Bachelor’s degree in Business Administration, Communications, or related field preferred.
  • Experience: Minimum of 2-4 years of experience as an executive assistant or in a similar role.
  • Candidate must be a Canadian citizen and must be a fully licensed driver (G).

Skills

  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to multitask and prioritize in a fast-paced environment.
  • High level of professionalism and attention to detail.
