Xpan Inc. is a medical device startup that markets an FDA-approved surgical device aimed at reducing complications in minimally invasive surgery. We are recruiting a well-rounded individual who will work with the executive management team to support the operations and quality management activities of the business. The ideal candidate would possess strong data analysis skills, business intelligence expertise, and project management capabilities to drive operational excellence and ensure quality standards are met. This position offers an exciting opportunity to contribute to strategic initiatives and gain valuable experience in a fast-paced environment. Our office is in Vaughan, Ontario, and we offer a flexible/hybrid work environment.

Tasks & responsibilities:

  1. Quality
  • Support the Quality Management System (QMS) by handling documentation changes, and investigating non-conformances.

  • Support quality audits.

  1. Operations
  • Coordinate clinical product shipments.

  • Manage general shipping & receiving activities.

  • Manage component inventory.

  • Manage relationships with contract manufacturers and suppliers.

  • Manage customer relations, including interactions with physicians, OR staff, and procurement staff.

  • Manage suppliers, and purchase materials and capital equipment.

  1. Investor Relations and Outreach:
  • Manage investor relations by engaging with new and existing investors.

  • Conduct investor research, and prepare pitch decks.

  • Apply for non-dilutive funding opportunities, such as grants and pitch competitions, and complete reporting.

  1. Marketing and Communications:
  • Manage social media accounts, website, blogs, and newsletters.

  • Develop marketing materials such as animations, videos, and brochures (using MS Office and Photoshop/video editing skills).

  • Support conference and event bookings, and manage logistics.

  1. Market Research and Strategy:
  • Conduct market research and prepare summary reports (market sizing, competitive landscape, pricing, SWOT analysis, positioning, M&As, etc.).

  • Prepare marketing materials for clinical showcases and conferences (banners, brochures, display materials).

  1. Financial and Administrative Tasks:
  • Assist in creating diligence reports for investors.

  • Reconcile business financial transactions and coordinate payments.

  1. Financial Modeling and Planning:
  • Format financial pro-forma (balance sheet, income statement, cash flow) using company templates.

  • Perform financial and business scenario modeling:

    • Research basic assumptions (from 3rd party quotes, team members, literature)

    • Build various cashflow scenarios (conservative, nominal, aggressive)

  • Project planning: track performance against financial models & timelines (Gantt charts).

Candidate requirements:

  • A bachelor’s degree in a science-related field, with preference for degrees with business minors or a thesis-based Master’s.

  • Prior experience in the field of health care, medical device, pharmaceutical industry and/or related industry.

  • Prior technical writing and business development, marketing, or sales experience.

  • Must be a quick learner and interested in being in a dynamic startup environment (jack-of-all-trades).

  • Familiarity with analyzing data and using statistical methods.

  • Able to self-manage (setting high level objectives and granular tasks) especially under aggressive timelines.
