About the Role
As our Administrative Coordinator, you’ll support the day-to-day operations of a fast-moving startup. From handling documents and scheduling, to managing vendor relationships and supporting our team logistics, you’ll play a vital role in keeping things running smoothly. This is an opportunity for someone highly organized, detail-oriented, and proactive - who enjoys working in a small team and is comfortable wearing many hats.
What You’ll Do (Responsibilities)
Office Management & Scheduling
- Maintain calendars, coordinate internal and external meetings
- Manage in-office supplies and equipment
- Help coordinate travel, conferences, and team logistics
Administrative Support
- Organize and maintain key documentation (contracts, NDAs, grant materials, etc.)
- Supporting sales, marketing and business development efforts via coordination of pitches, proposals, invoices, and webinars
- Assist with grant reporting and tracking deadlines
- Support expense tracking, reimbursements, and bookkeeping
Operations & Communication
- Liaise with vendors, partners, and service providers
- Support onboarding and documentation for new hires
- Help implement and maintain operational processes

What We’re Looking For (Qualifications)
- Based in Montreal and available to work in-office at least 3 days/week (2 days/week part-time)
- Highly organized and detail-oriented
- Strong written and verbal communication skills
- Fully bilingual (French and English)
- Able to manage multiple tasks and prioritize effectively
- Comfortable with Google Suite (Google Docs, Sheets, Calendar) and other productivity tools (Slack)
- Proactive, adaptable, and comfortable working in a startup environment
Nice to Haves (Bonus Skills)
- Experience with project management and CRM tools such as Confluence, Jira, and Pipedrive
- Experience with marketing and communication tools such as Mailchimp
Compensation
- We welcome both early-career and more experienced candidates. Compensation will be adjusted accordingly.
- Salary Range: $45,000–$60,000 CAD (prorated for part-time)
